Missed-week catch-ups
Let course dancers who tell you they'll miss a week make it up in another group or open class, with the limits your school chooses.
For owners and managers
Outcome: a course dancer who can't come one week tells you ahead of time, and makes the week up elsewhere, free, within your limits.
Who can do this: owners and managers set the policy. Dancers do the rest themselves.
Before you start: courses must be on for your school (see School). Catch-ups only work well with at least one other class at the same level, such as a parallel group (G03) or an Any-level open class.
Decide first#
| Setting | Studio Voorbeeld | The trade-off |
|---|---|---|
| What counts as a catch-up | A course group or an open class | Courses only keeps the week "in the programme"; open classes give more options. |
| Which class they may join | The same level only | One level either side gives more options, with a different level in the room. |
| Only classes in the same style | On | Off lets a salsa week be made up in bachata. |
| How long they have | 14 days either side | Short keeps the material close; long helps people away for a while. |
| How many they may catch up | 2 | Any number is generous. Low numbers keep groups stable. |
| Limit how far over the cap | On, 1 | Off means a class takes every catch-up that qualifies. |
Steps#
- In the sidebar, open Catch-ups and turn on Let dancers catch up a missed week.
- Set the choices above and Save changes.
- Check your courses. Missed weeks here can be caught up elsewhere, and this group takes catch-ups is on by default. Turn it off for any course with its own material. Studio Voorbeeld's Bachata · Level 1 teaches a choreography, so it's off there.
What dancers do#
Noor is in Tuesday's Salsa · Beginners 2.
- On the course page, Noor chooses Can't come on next Tuesday's week.
- The app asks Give up this week's place?: "Your seat stays yours for the rest of the block. This week goes out as a free fill-in, so someone else can take it." Noor chooses Release it.
- The week now shows Catch up. It opens Catch up a missed week, which lists the classes Noor can go to instead and says: "Taking one of these costs nothing and uses no credit — you already paid for that week."
- Noor picks Thursday's Beginners 2. It's on Noor's calendar.
A change of mind? Before Tuesday's class, Take it back returns the Tuesday place.
The rules that matter#
- Tell before, not after. The week only earns a catch-up if Noor reported it before Tuesday's class started. Not turning up, or being marked absent afterwards, earns nothing. Staff marking Noor absent on the register before class counts.
- Early is fine. The window runs both ways, so Noor can go on Thursday before the Tuesday being missed.
- Workshops and events never count. Only classes of the kind Class do, and courses.
- A week your school cancels doesn't earn a catch-up.
- Cancelling the catch-up gives the week back while the window is open.
- Not showing up to a catch-up uses the week. Managers get a notice ("… missed a catch-up"). On the class's register, Give the week back undoes it if you think that's fair.
What your team sees#
On Thursday's roster Noor shows as Catch-up. On Tuesday's register Noor is under Told you beforehand, and that place went out as a fill-in.
Check it worked#
- The Catch-ups page's card counts the published classes that could take a catch-up, and how many of your blocks take them.
- Report a future week as a test dancer. Catch up lists the expected classes.
Changing your mind#
Rule changes apply to catch-ups booked from then on. Turning catch-ups off for the school removes the Catch up option everywhere. Catch-ups already booked stay booked.
If it doesn't work#
See No catch-up choices appear. The usual causes are that the week wasn't reported in time, the per-block limit is used up, there's no class at that level in the window, or the dancer is already booked at the other class's time.
