Numbers look different

Why two screens show different numbers for what seems the same thing. Short versus asking, seats versus places, held versus enrolled, and period totals versus a filtered list.

For owners and managers

Most mismatches are two screens answering slightly different questions. Here are the common ones.

"Short" on Tonight, but no request went out#

Short counts every class where one role is behind, by any number. A request only goes out when the gap reaches your fill-in rule's Ask when the gap is, at the check time. So with "2 or more", a class 1 follow short is Short on Tonight and Below the ask threshold in its Automation column.

The tile turns red only when at least one class is short enough to ask.

A class with room, but "Full for follows"#

Capacity is per role. A class of "12 of each" with 12 follows and 9 leads is full for follows, with 3 lead places left. The roster's balance card says so: "Full for follows. Leads have room."

Seats on the course versus the roster of one week#

  • The course's Who is in page counts seats in the block.
  • A lesson's roster counts who's expected that evening: course dancers minus anyone who said they can't come, plus fill-ins, catch-ups, try-outs and people added for that date only.

So week 5 can show 11 follows while the block has 12 seats: one dancer said they'd miss it.

Held places#

A place waiting for payment, or a seat kept for someone deciding after a try-out, takes up a place, so the class can show Full before everyone has paid. On the course's Who is in page these are listed separately, under Waiting to pay and Deciding after a try-out, not in the Leads and Follows columns.

Someone in checkout at that moment holds a place too, shown as Paying now on the roster.

A cap that went up#

Adding someone to a full class raises its cap. On a single date the roster says "Cap raised to 13 for this class only". On a course the cap goes up for every week. The course editor then shows the new number.

Payments: totals versus the list#

  • The figures at the top (Kept, Taken in, Refunded, Failed) are for the whole period, whatever tab or search you choose.
  • The tabs and search narrow the list only.
  • A refund counts in the period it was made. A September payment refunded in October lowers October's Kept, not September's.
  • Kept includes VAT and is before Stripe's fees, so it won't match what reaches your bank. Use Stripe's payout reports for that.

Members tab counts#

  • In a block wins over Open classes: a dancer with both a seat and a plan is counted once, under In a block.
  • Tried a class overlaps the others. Someone who tried a class and then bought a block is counted in both.
  • Open classes counts plans bought this month. On the 1st, it drops until people buy again.

Credits left#

"Regular · 5 of 8" is credits left of the month's total. A credit spent on a booking comes back if the booking is cancelled in time, or if your school cancels the date. A no-show keeps it spent.
