Catch-ups

Let course dancers make up a missed week in another group or an open class, covering where, which level and style, how long they have, how many per block, and how far over a class's cap.

For owners and managers

A catch-up lets a course dancer who misses a week make it up with another group or in an open class, at no extra cost. They already paid for that week. Say Noor is in Tuesday's Salsa Beginners 2 and can't come next Tuesday: Noor tells you in the app, then books Thursday's Beginners 2 group instead.

Where: sidebar → Catch-ups. The page only appears in the sidebar while your school runs courses (see School); a catch-up is always a course week taken somewhere else.
Who: owners and managers. Changes wait for Save changes ("Catch-up rules saved.").

Catch-ups at Studio Voorbeeld: on, a course group or an open class, same level, same style, 14 days either side, 2 per block, 1 over the cap.

Let dancers catch up a missed week#

The school-wide switch. Off by default. Nothing appears to anybody until you turn it on.

Each course can also opt out, on the course editor: Missed weeks here can be caught up elsewhere, and this group takes catch-ups. That one switch covers both directions. An opted-out course neither gives its dancers catch-ups nor takes other groups' catch-ups. See Course editor.

How a dancer earns a catch-up#

A missed week counts only if the dancer told you before the class started, by reporting the absence in the app. (A teacher or manager marking them absent before the start counts too.) Being marked absent afterwards, or simply not turning up, doesn't earn a catch-up.

A week your school cancels doesn't earn a catch-up either.

What counts as a catch-up#

Where the missed week can be taken:

ChoiceMeaning
A course group or an open class (default)The widest choice, and the least likely to leave somebody with nowhere to go.
Another course group onlySame syllabus, same kind of week. Nobody swaps a course week for a drop-in.
An open class onlyKeeps groups closed; the missed week is made up outside the course programme.

Open classes only count when their kind is Class. Workshops and events don't cover a week's material, so they never count.

Which class they may join#

ChoiceMeaning
The same level only (default)The same step on your level list. The safest week for everybody in the room, and the fewest options.
One level either sideA step up or a step down, counted through your whole list. Beginners 3 and Intermediate 1 are next to each other.
Any levelLevel is ignored, so a beginner may land in an advanced room.

A class set to Any level matches every missed week of its style, whatever this rule says. That's what "Salsa Open" means.

"The same level" means the same step on your list, not the same lesson content. Two Beginners 2 groups can be at different weeks of the material. Make sure groups that share a level really are interchangeable, or opt the odd one out. See G03: The same course on two evenings.

Only classes in the same style#

On by default, and recommended: a missed salsa week is caught up in salsa. Off, it can be caught up in any style you teach.

How long they have#

7d, 14d (default), 21d, 30d, or Custom (1–120 days), either side of the week they missed. A catch-up can be taken early as well as later. Noor, away on the 20th, can go to the other group on the 18th.

How many they may catch up#

1, 2 (default), 3, 4 or Any number, per dancer, per block.

Beyond that, further missed weeks of the same block stay missed. A catch-up the dancer cancels doesn't count. A catch-up they book and then don't show up to does count (see below).

Room limits#

Catch-ups are allowed past a class's cap, because the dancer already paid for that week.

  • Limit how far over the cap off (default): no ceiling. A class takes every catch-up that qualifies.
  • On: Places over the cap (0–20). A class that's full on the dancer's own role takes at most that many more of them. It's counted per role in partner classes, and against the total in solo courses. 0 means a full class takes no catch-ups at all.

A catch-up adds a dancer to one side of the room. If it unbalances the class, fill-ins may ask for the other role.

Where a week could go#

The card on the right counts how many published classes could take a catch-up under your current choices, and how many of your published blocks take them. Each dancer sees fewer: the level, style and date rules narrow it again for the week they actually missed, and classes they're already in or that clash with another booking are left out.

What dancers experience#

  • The catch-up costs nothing: no credit and no payment.
  • After reporting an absence, the dancer sees the classes they can go to instead, and books one.
  • If they cancel the catch-up, the missed week becomes available again while the window is still open.
  • If they don't show up to a catch-up, the week counts as used. Managers get a notice ("… missed a catch-up") and can give the week back from that lesson if that's fair.
