Change an existing level list
Rename, reorder, split or shrink a level list that courses, classes and dancers already use, without anyone ending up on the wrong level.
For owners and managers
Your Salsa list has been Salsa 1–6 for years, and you want Beginners 1–3 and Intermediate 1–3. Or you want to add an Improvers group between them. This guide changes a list that's already in use, safely.
A fresh list is simpler; see G01.
Where: Styles and levels → Edit levels on the style.
Who: owners and managers.
What's safe, and what isn't#
Courses, classes and dancers point at a step, not at its name or its number. So:
| Change | Records | Matching for fill-ins and catch-ups |
|---|---|---|
| Rename a group | Safe. Everyone moves with the name. | Unchanged. |
| Add steps or groups | Safe. | Changes: steps further up are now further apart. |
| Reorder groups | Safe. | Changes: different steps are now next to each other. |
| Remove steps | You choose where each course, class and dancer goes. | Changes. |
Only removing steps needs care. Removing happens when you lower a group's count or delete a group, and a group always loses steps from its end.
Before you start#
- On Styles and levels, read what the style is Used by: how many courses, classes and dancers.
- Write down, or screenshot, the current list and which courses sit on which step. There's no undo after you save.
- Decide where each step should end up. For Salsa 1–6: Salsa 1–3 become Beginners 1–3, Salsa 4–6 become Intermediate 1–3.
Salsa 1–6 to Beginners 1–3 and Intermediate 1–3#
- Edit levels on Salsa.
- Name the group Beginners. Nothing has moved yet: Salsa 1–6 are now Beginners 1–6.
- Lower Beginners from 6 to 3 with −. The last three steps are now going, and the editor says what's on each: "Salsa 4 is going, and 1 course and 6 dancers are on it."
- Add a group, name it Intermediate, and give it 3 steps. It goes above Beginners.
- For each step that's going, choose where everything on it moves: Salsa 4 → Move to Intermediate 1, Salsa 5 → Move to Intermediate 2, Salsa 6 → Move to Intermediate 3.
- One choice per step moves its courses, classes and dancers together.
- If a course or class is on the step, you must choose a step; Save levels stays disabled until you do.
- If only dancers are on it, you can instead choose Leave those dancers unrated. Unrated dancers pick a level again themselves.
- Check No experience needed up to. It should usually still be Beginners 1.
- Read the fill-in preview if it appears (below).
- Save levels.
Why not just rename? Because renaming alone can't split one group of six into two groups of three. Steps 4–6 have to be removed from Beginners and their courses and dancers moved to the new Intermediate steps.
Adding an Improvers group in the middle#
- Add a group called Improvers. It's added as the highest level, above Intermediate.
- Use the arrows to move it between Beginners and Intermediate.
- Save levels.
Nothing is removed, so nothing needs moving. But matching changes: Beginners 3 and Intermediate 1 aren't next to each other any more. A dancer on Beginners 3 who used to be asked to fill in for Intermediate 1 under One level above too won't be now; they'll be asked for Improvers 1.
The fill-in preview#
If your school runs fill-ins with a level rule, the editor shows This changes who gets asked to fill in before you save: each affected step with how many dancers could be asked before and after, for example "Intermediate 1 · 14 dancers → 9". It counts who'd be eligible under your current rule, not who'd say yes. Use it to spot a change you didn't intend.
Catch-ups with One level either side change in the same way.
After saving#
- Courses and classes: open one on each moved step and check its Level shows the new name.
- Dancers: on Members, the Level column shows the new names. Anyone you left unrated shows no level for this style until they choose one.
- Course cards: check which steps show No experience needed.
- Catch-ups: if dancers had catch-ups lined up, check that the classes they'd match still make sense.
The list doesn't create or rename courses. A course called "Salsa 4" is still called that; rename it in the course editor if you want to. Its Level is what counts for matching.
