Cancellations

How late dancers can cancel a class or a block and get their credit or money back, whether single visits are refunded, and how long a place your team hands out waits for payment.

For owners and managers

One page for everything that happens when a booking doesn't end the ordinary way: a dancer cancels, or someone your team put in a class doesn't pay. The rules are the same for every class, so a dancer never has to check which one they booked. You can't override them per class.

Where: sidebar → Cancellations.
Who: owners and managers.

Changes wait for Save changes at the top. Discard throws them away.

A class: free cancellation until (hours before)#

0–72 hours. It starts at 2.

This is the window for open classes and try-outs. A dancer who cancels at least this many hours before the start gets the booking undone in full:

  • a class booked with credits: the credit goes back on their plan;
  • a single visit they paid for: the money comes back, if Refund a cancelled single visit is on;
  • a paid try-out: the money comes back, if your try-out settings refund cancelled try-outs.

Cancelling exactly at the deadline still counts as in time. Later than that, or once the class has started, the booking stands: no credit and no money back.

Either way, the seat goes back out to be taken, and a fill-in request may offer it around.

A block: free cancellation until (days before)#

0–60 days. It starts at 7.

A dancer can leave a course themselves until this many days before the block's first lesson, with Leave the block on the course page (web and app), and they get back everything they paid. After that the button is gone and the page says when the window closed; they ask you, and you remove them with or without a refund.

Missing a single week of a course is a different thing. A missed course week is never refunded. The dancer tells you they can't come, their place is offered as a fill-in, and they may be able to catch the week up elsewhere; see Catch-ups.

A place you hand out: days to pay#

1–60 days. It starts at 3.

When your team puts somebody into a class or a block and asks them to pay, the seat is held for this many days. That covers adding them from a lesson, from a course's people page, or by email. The message they get names the date. Nobody else can take the seat meanwhile. If the money doesn't arrive, the hold is released, the seat goes back on sale, and both they and whoever added them are told.

A place you give away free has no deadline and doesn't use this. See Add a dancer.

Refund a cancelled single visit#

Off by default. Only for somebody who paid money for one open class.

  • On: cancelling within the class window above refunds them in full.
  • Off: the app tells them "not refunded once booked" before they pay, so nobody is surprised.

Either way, cancelling frees the spot. This setting only decides whether the money follows. Try-outs have their own refund switch under Try-out classes, and so does every event: Refund a ticket given up in time, off unless you tick it. See Event editor.

When your school cancels a class#

Cancelling a date yourself (see Cancel one date), or ending an open class that still has bookings, is a different case from a dancer cancelling. It doesn't depend on the windows above:

  • credits go back to everyone who booked with them;
  • single visits and paid try-outs are refunded;
  • a newcomer whose try-out it was can book another one, because theirs never happened;
  • course dancers are told the week is cancelled.

Refunding is the default: the confirmation has a refund tick you can clear, and then nothing is refunded and those who paid are told to get in touch with you. Everyone booked gets a notice saying what came back.

A refund shown in Dansly has been started with the payment provider. The money can take a few days to reach the dancer's account.
